Scheduling & Rostering

Build the roster around the work that needs to happen.

Create recurring and one-off shifts, respond to variable demand, see coverage gaps, review candidate context and publish the roster in one connected workflow.

One connected roster workflow

Shape the work. Fill the gaps. Publish the outcome.

RASP supports the practical steps roster managers move through every day, while keeping draft planning separate from what employees can see.

  1. 01

    Shape

Create one-off shifts, generate recurring work or build bulk labour from demand.

  2. 02

    Cover

Compare configured staffing requirements with filled and vacant coverage.

  3. 03

    Assign

Review availability, qualifications, fatigue information and relevant warnings.

  4. 04

    Publish

Validate selected work and make published shifts visible to the appropriate people.

01 · Flexible roster building

Start with the demand or pattern. Adjust as the operation changes.

Create work from changing labour demand or recurring employee patterns. Add one-off shifts and adjust the roster directly on the board.

Bill of Labour

Use shift templates to create labour in bulk as demand changes, then review and adjust the generated work on the roster.

  • Generate recurring shifts from employee work patterns
  • Create assigned or vacant draft shifts for one-off work
  • Move, copy and edit shifts on the board
  • Organise board views around the work

Draft shifts stay in the planning workspace until they are published for employees.

02 · Minimum staffing

See what is required, what is filled and what is still open.

Set the minimum staffing needed by time, location, team, role or skill. RASP shows whether published assigned shifts meet the requirement and lets you turn a gap into a vacancy.

Headline coverage counts matching published assigned shifts. Draft assignments and vacancies remain visible for planning, but do not count as covered.

Define the requirement

Set the headcount needed by time, location, team, role or skill.

Read the position

See the requirement, published coverage and any remaining gap.

Resolve the gap

Turn a visible gap into a vacancy and continue the assignment workflow.

03 · Assignment context

Choose a person with the reasons in view.

Review availability, qualifications, scheduling rules and fatigue information when assigning a shift.

Autofill selected vacancies

Assign vacant shifts in bulk using employee priority, availability, qualifications, fatigue and scheduling rules. Review the result and resolve anything left open.

  • See overlapping work, leave, RDOs and other availability clashes
  • Review qualifications and any override before assignment
  • Keep scheduling rules and fatigue information distinct
  • Assign a person directly when judgement is needed

Roster maintenance

Change more than one shift without losing control of the result.

Select the work that needs attention, apply the appropriate bulk action, and review relevant validation before saving or publishing the change.

04 · From plan to shared roster

Publish the work people should rely on.

Publish valid assigned shifts so employees and roster viewers can see the current plan. Blocking rules prevent invalid work from being published.

  • Publish selected assigned shifts after reviewing warnings and conflicts
  • Keep draft work on the Admin shift board
  • Publish changes into employee and team views
  • Notify employees assigned to selected shifts

Open work and communication

Ask, offer, publish and notify with purpose.

Availability Requests and Shift Offers solve different staffing questions. Publishing and notifying happen after the work has been assigned.

Availability Requests

Ask whether selected employees are available before choosing who gets the shift. A response informs the decision but does not assign the work.

Shift Offers

Offer open work to selected employees after assessing candidates. Employees can accept or decline remotely, giving the scheduler a clear response to act on.

Publish

Make assigned shifts visible to employees and others who rely on the published roster.

Notify

Send roster information to employees assigned to the selected shifts.
